How to invite your subscribers to your community
Community Beta Disclaimer: The community feature is launching in a beta state, available to all paid beehiiv plans. During this time, we will be prioritizing user feedback and making frequent updates that may cause some images or details in this article to differ slightly from what you see in the app.
Your community works best when your people are in it from day one. beehiiv makes it easy to invite your existing newsletter subscribers: pick who to invite, add a personal welcome, and beehiiv handles the sending, the reminder, and the tracking.
Before you begin
- You can invite anyone by email. Subscribers are matched automatically, and when someone who isn't yet a subscriber joins your community, they're added to your newsletter subscriber list too.
- Anyone who is already a member is automatically skipped. You will never re-invite someone who has already joined.
- You can invite up to 1,000 people at a time.
- Finish configuring your community experience before sending your first invites. Set your design, create your channels, and publish a few posts so new members land in a living community.
Send your first invites
- In your beehiiv dashboard, open Community from the left navigation, then select Members.
- Select Invite members.
Step 1: Choose who to invite
Pick your audience from one of three tabs:
- Top engaged: Your most engaged subscribers, ranked by beehiiv's engagement data. Subscribers who are already members are excluded automatically. This is the best starting point: your most engaged readers are the most likely to join and post.
- Upload CSV: Upload a CSV file of email addresses.
- Paste emails: Type or paste addresses by hand.
Note: Inviting a saved segment is coming soon. Duplicates across your selection are removed automatically, and every list is checked against existing members so nobody gets a repeat invite.
Step 2: Personalize your invite
-
Invite email: Add a personal welcome message (optional). Your message appears in the invite email members receive. Keep it in your voice: a short, personal note converts better than a generic announcement.
-
Reminder email: Leave send reminder email toggled on to automatically follow up with anyone who hasn't joined after 3 days. Anyone who joins before then never gets the reminder. Switch it off if you'd rather not follow up.
Step 3: Confirm and send
Review your recipient count and hit Send invites. Invites go out in the background; large batches can take a few minutes.
What your subscribers receive
Each person gets an invite email with your welcome message and a Join button that takes them straight into your community's join flow. If they haven't joined after 3 days (and the reminder is on), they get one reminder email.
Track who joined
Back on the Members page:
- Invite progress: This shows your running totals: Invited, Joined, and Pending.
- Pending invites: Lists everyone who hasn't joined yet, with the source of their invite. Use Resend invite on any row to give someone another nudge.
Tips for a strong launch
- Start with Top engaged rather than your full list. A smaller room of active readers beats a big empty one.
- Post a few conversation starters before inviting anyone, so new members never land in an empty feed.
- Watch your Joined count in the first week. For more on seeding your first members and conversations, check out these resources from beehiiv's head of community.
